ST. MADELEINE SOPHIE PASTORAL COUNCIL

1/9/12 Meeting Minutes

AMAZING GOD: Year Two:  The Heart of Christ.  Tony Groat read the new prayer for the second year of the Amazing God program.  The website is www.amazinggodrcda.org.  Tony volunteered to organize an Amazing God team.  He will write something for the bulletin and set up a date for an initial meeting. 

TIME AND TALENT COMMITTEE REPORT: Anna Hartz gave a written report in November.  She is following up with leaders to get their input.  It was suggested that the day and time commitment for each ministry be listed on the Time and Talent Form.  It was generally felt that a personal invitation is the best way to get increased participation.  Also, the possibility of co-chairs instead of a single chair person might encourage more people to try leadership.  A committee will be formed to review and develop recommendations for next year’s time and talent. 

MINISTRY REPORTS:

Liturgy Team:  Written report submitted.  Liturgy Team meets again tomorrow, January 10th to evaluate the implementation of the new Roman Missal and the Advent/Christmas season. 

 NEW BUSINESS:

 Tony reminded us of the pastoral council goals that have been established.  Integration of Amazing God into all ministries was also discussed. 

Members of the pastoral council were very appreciative of all the work Paul Doyle has done as webmaster.  Anna Hartz will contact him to see if she can offer any assistance. 

 Tony Groat will work on a draft of a pastoral council handbook.  He will bring it to the March meeting.

 Barry Krawchuk announced that tickets for the Hair of the Dog concert will go on sale on Jan. 21/22   for the concert on March 24th.  The Men’s Association raised $149 for the Youth Group from caroling. 

 The Youth Group is having a fundraiser at Applebee’s tomorrow.  10% of each check (with the coupon) will be donated to the Youth Group.

11/7/11 Meeting Minutes

PARISH PASTORAL COUNCIL JOINT MEETING:  Those who attended the meeting on October 17th at St. Gabriel’s felt that St. Madeleine Sophie pastoral council follows the guidelines given by the diocese.  Discernment was strongly endorsed at the meeting and we have already adopted that procedure for selecting new members. 

AUTUMN DIOCESAN GATHERING: Earle reported that the gathering on October 29th was well attended.  He especially enjoyed the keynote speaker, Fr. Fragomeni.     

MINISTRY REPORTS:

Finance Council-Gene Therriault and Judy McKenna spoke briefly about the e-giving program.  Sign-up is going well.  They felt e-giving will help to increase weekly and holy day contributions. 

Faith Formation-A written report was submitted.  Confirmation will be held tomorrow evening.  83 candidates will be confirmed.  The Men’s Association will give out books on the lives of the saints to all candidates.  Virtus training was held September 21st.  It was well attended.  The next Deanery Youth Mass will be on December 11th at St. Paul’s.  RCIA has 4 people enrolled.  They are using a new books this year.  Eighteen youth have signed up for the service trip to Monson, MA.  The high school youth group has increased to about 20 youth.  The middle school youth group had a kick-off event on September 27th.  An overnight retreat for 10th graders will be held in January. 

TIME AND TALENT COMMITTEE REPORT: A written report was submitted by Anna Hartz.  The response this year was better than last year by 57. Anna will provide a summary from the ministry coordinators and chairpersons in January. Gene asked what assurance we have that new people have been contacted by ministry leaders.

HOSPITALITY COMMITTEE REPORT:  A written report was submitted.  Steve Donlon has agreed to coordinate volunteers for serving refreshments.  Janet DeMania will pick up the munchkins every Saturday.

OLD BUSINESS

Discernment Committee:  The Discernment Committee (Barry Krawchuk, Kathi Cannone, and Gloria Towle-Hilt) met on April 28th.  A member of the committee spoke at all the masses this weekend.  Three adults and one youth are needed for next year.  Forms are available in the gathering area to nominate a parishioner to the pastoral council.  Nominations are due by May 16th.  Pat Mussaw will be presenting for the discernment.   New members discerned will be invited to the next pastoral council meeting on June 1st.  Refreshments will be provided by Tony Groat and Julie Haynes (cookies), Teresa Kovarovic (beverages), Carolyn Kelly (fruit), and Gloria Towle-Hilt (cups and napkins).

Evangelization Planning: Amazing God Evening of Reflection-The Evening of Reflection was held on March 31st.  About 20 people attended.  It began with a simple meal of soup.  Then the second part of the DVD was watched and discussed.  There was a very positive response and another evening of reflection may be planned in the future.

NEW BUSINESS

New Roman Missal Implementation-Nancy Lussier from the Liturgy Team spoke to the council about the upcoming changes.  The new edition will be implemented on November 27, 2011 (the 1st Sunday of Advent).  This edition is more formal and a more literal translation as well as being more based on scripture.  The Liturgy Team suggests we practice the prayers at meetings and before mass.  Bulletin inserts, worship aids, educational material, and training will also be offered.

Autumn Gathering-The next Autumn Gathering will be on October 29th at Christian Brothers Academy.  The theme will be He Sent My Heart Singing.  

 

MINISTRY AREAS

Christian Service—Written report submitted.  Barry Krawchuk gave a report on the Men’s Association.  The Hair of the Dog concert was successful, 330 people attended with an overall profit of $3100.  The concert will be on March 24th next year.  Gloria reported the activities of the other ministries .  The Hospitality Committee needs a new chairperson.  Barry will write up something for the bulletin. 

Faith Formation—A written report was submitted.  A reception for catechist was held after the 11:45 am mass this Sunday.  Registration for Vacation Bible School has been coming in.

School-A written report was submitted.

Administration & Finance—The Finance Council will meet in two weeks to work on the budget.  Toni LaFond, our new Pastoral Associate for Administration, will start on Monday, May 9th.  The Bishop’s Appeal will begin on May 14/15.  The assessment is up 4%.

PASTOR’S REMARKS—St. Madeleine Sophie’s will be hosting the Schenectady Deanery Communal Celebration of the Sacrament of the Anointing of the Sick on June 5th at 3 pm.   The Triduum and Easter went very well.  Fr. Jim expressed his appreciation to all who were involved in the Holy Week and Easter celebrations.

OLD BUSINESS

 Use of Gathering Area- Fr. Jim and Michele will work on a document for the council to review.  They will also try to identify a person to keep the bulletin board updated.     

NEW BUSINESS

Evangelization: Amazing God-The council watched the first segment of the Amazing God DVD.  In Part I, Bishop Howard Hubbard gave a brief introduction to Amazing God and explained some of the ways this DVD can be used.  Fr. Jim said the Wednesday Faith Sharing Group will be watching the Amazing God DVD and discussing it during their meeting times.  It was suggested that the DVD be shown at a time the whole congregation could watch it.  It was decided that a Wednesday evening during Lent following a simple meal would be an appropriate time.  Kathi Cannone and Tony Groat offered to lead the discussion, Mark Leonard will make the soup, Anna Hartz will help with bread and refreshments, and Michele Freeman will write up something for the bulletin and work on sign-ups.  A date has not yet been decided.

MINISTRY AREAS

Christian Service—A written report was submitted.  Plus 50 dinners have been well attended.  A chairperson for the Hospitality Committee has not yet been found.  The refugee family welcomed a new baby, Sarah John.  The next blood drive will be on February 21st at Lynnwood Reformed Church.  

Faith Formation—Written reports were submitted.  The 9th grade retreat on Sunday went very well.  About 40 youth attended.  Catholic Schools Mass was celebrated on Sunday with students from SMS school participating.  It went very well.  A new Smart Board was set up in the third grade classroom.  A new pre-kindergarten part time program has been established for next year.    

PASTOR’S REMARKS

Fr. Jim reported that the Finance Council met last week and reviewed the 6-month report.  The budget deficit continues.  Resumes have been received for the Pastoral Associate for Administration position and interviewing will begin soon.  Jackie Bruce and Nancy Lussier have been helping until someone is hired. 

The next deanery youth liturgy will be here at St. Madeleine Sophie’s church on March 27th at 7:30 pm.  The next deanery communal anointing of the sick will be here probably in June.

OLD BUSINESS

Time and Talent-Anna reported on the results of Time and Talent.  There has been a slight decline in responses compared to last year.  Prayer and Worship had the largest number of responses.  A chair for Hospitality is still needed.  Anna suggested mailing the letter after the ministry fair and only to those who didn’t respond yet.  We had a good start to our email campaign and will continue adding new email addresses.

Use of Gathering Area- Discussion was postponed.   

NEW BUSINESS

Evangelization: Amazing God-Norm Miller gave a brief presentation on “Landings” which was described as “a safe harbor or landing place for returning Catholics to explore their faith and their future with the Church.”  He explained that there should be a supportive community for returning Catholics.  Active Catholics are encouraged to participate by sharing their time and faith.  This will also give them an opportunity to grow and learn from the spiritual journeys of others.  The Landings process begins with an initial interview with the priest or trained representatives of the Church.  The group meets weekly for about 8 weeks and concludes with a weekend retreat.

Mark Bolduc reported on the survey results from our November meeting.  Three Goals were discussed: 

#1. Enthusiasm, #2 Invitation, and #3 Foster Values.  Goal 3 Foster Values was seen as the weakest goal. 

MINISTRY AREAS

Prayer and Worship-Marie Montone submitted a written report. The Liturgy Team chose Amazing God! God is Love as their theme.  The Amazing God prayer is read before each mass during this liturgical year.  Children of the parish colored ornaments for the Advent Tree and members of the Liturgy Team addressed the cards that were returned.  Bulletin inserts with activities for adults and children were prepared for the Christmas season.

Administration-No report.  Caroline retired as of Dec. 31, 2010.  Nancy Lussier and Jackie Bruce are helping until someone is hired.    

PASTOR’S REMARKS

Fr. Jim felt the Advent and Christmas season went very well.  Solemnity of Mary was not a holy day of obligation this year and attendance was low.  The 4 pm mass on Christmas eve was very well attended, as usual.  Easter is late this year (April 24).  St. Madeleine Sophie Church and St. Gabriel’s church will share Good Friday and Holy Saturday liturgies this year.

OLD BUSINESS

Time and Talent-Anna will give a full report at the next meeting. The number of responses is about the same as last year.  E-mail addresses are still coming in.  Reports will go to the ministry leaders by next week.  A parishioner expressed concern about survey monkey so Anna is researching any potential problems. 

50th Anniversary School Report-The school celebrated their 50th anniversary on October 17th with a mass at 11:45 am.  A luncheon in the parish center followed the mass.  It was very well attended and got coverage by Channel 13 and the Altamont Enterprise.  Teresa thanked Jan Jarvis and her committee for all their hard work. 

Diocesan Autumn Gathering-Earle reported on this event which took place on October 23rd at Christian Brothers Academy.  He attended a session on Evangelization which he found very informative.   Fr. Jim discussed a workshop entitled “Landings International”  which will take place on Dec. 4th at St. Mary’s in Clinton Heights.  It will be repeated in the early spring.

Schenectady Deanery Pastoral Council Training-Earle Flatt and Mark Leonard attended this training last Saturday.  The differences between parish councils and pastoral councils were discussed.  Mark felt that our parish was ahead of many parishes in establishing a pastoral council instead of a parish council. 

Evangelization-  Tony Groat met with the other pastoral council liaisons.  He felt that we should have a consistent message regarding evangelization and be encouraging and enthusiastic when meeting with ministry leaders. 

NEW BUSINESS

By-Laws- The by-law changes were approved.  Copies of the revised by-laws will be distributed at the next meeting. 

Use of Gathering Area Spaces-Notes of Fr. Jim and Michele Freeman’s meeting were submitted.  It was felt that we should concentrate on prioritizing what groups are allowed to use the meeting room and gathering area.  This will be discussed at the next meeting. 

Refuge Family-Julianne reported that her Peace and Justice Class will be collecting baby items for the John family, whose baby is due in January. 

MINISTRY AREAS

Christian Service-Written report submitted.  The attendance for the Plus 50 dinners has increased.  The Blood Drive had 36 donors.  The next drive is December 23rd.  The Men’s Association will provide Bibles for those being confirmed.  The Hair of the Dog concert will be on March 19th. 

Faith Formation-Written report submitted. The handbooks have been completed and are being distributed.  Confirmation will be on November 29th at 6:30 pm; rehearsal will on November 28th at 6 pm.  The First Reconciliation parent meeting was on October 27.  First Reconciliation is scheduled for Jan. 8 at 11 am and January 12th at 7 pm.

Youth Ministry-  Written report submitted.  The high school youth group meets the third Sunday of each month at 6:30 pm and the middle school youth group meets the first Tuesday of each month at 6 pm.  Attendance has been good for both group.  A Group Workcamp mission trip is being planned for July 31-August 6th. 

School-Written report submitted.  A Craft Fair will be held on Saturday in the parish center from 10-3pm. 

Prayer and Worship-Written report submitted. The Liturgy Team is planning for Advent and Christmas.  Guidelines for liturgical ministers will be updated this year. 

Administration-The financial statement will be inserted in the bulletin soon. The financial talks on 10/23-10/24 were well received.  Generally the attendance at mass has decreased compared to last year.  Electronic giving will be discussed again at the next Finance Council meeting.  

PASTOR’S REMARKS

Fr. Jim discussed the Deanery Works of Mercy Initiative which involves outreach ministries to the homebound, nursing homes, and those in jail.  It has been recommended that a second collection be taken up on the Second Sunday of Advent to help fund this position.

CHAIR REMARKS- Gloria thanked all members who attended the summer meeting.  She also thanked everyone for their support. 

           REPORTS

 ACE Team- Their first newsletter was distributed in September.  The Book Discussion group begins this Wednesday.  An Evening of Reflection for the Bereaved will be held on November 11th.  A flyer with details about this event will be included in the All Souls Day mass invitations.  A panel discussion will be held on November 17th.  Written questions can be submitted in the box in the gathering area.  The next ACE Team meeting will be on October 19th.    

Time and Talent-Anna gave the preliminary results of the surveys.  The number of responses is about the same as last year.  Many people submitted their email addresses and used the survey monkey to respond.  This helped to save paper and save money on postage.  The leaders of the ministries will receive spreadsheets with the results instead of copies of the surveys. 

NEW BUSINESS

School’s 50th Anniversary-SMS School will celebrate their 50th anniversary at the 11:45 am mass on Sunday, October 17th.  Bishop Hubbard and Sr. Jane Herb will be in attendance.  A luncheon will follow the mass.  Please call the school to make reservations. 

Autumn Diocesan Gathering- This event will be held on October 23rd from 8:15 to 2:30 pm at Christian Brothers Academy

Schenectady Deanery Pastoral Council Training -  This event will be held on October 30th from 9-3 pm at St. Paul’s parish center.  Facilitators will be Frank Berning and David Amico. 

Election of Vice-Chair-Mark Bolduc was nominated and accepted the position of vice chair. 

OLD BUSINESS

By-Laws- Copies of proposed changes to the By-Laws were distributed.  Please email Gloria with any changes you would suggest and be prepared to discuss at the next meeting.

Review of Goals-   The continuing goals include more involvement of youth in parish activities, encouraging intergenerational activities, greater linkage between our parish and St. Gabriel’s and continuing to educate ourselves about evangelization.  Liaisons to the four ministry areas were established:  Tony Groat-Prayer & Worship, Carolyn Kelly-Administration, Michelle Freeman-Faith Formation, and Gloria Towle-Hilt-Christian Service.  

 PASTOR’S REMARKS  -  Fr. Jim welcomed Donna Simone and Terri Bouchard.  The Faith Formation office will be moving into the convent space soon.  Boilers have been replaced in the school and parish center.  Bob Balander will retire on October 8th.  Conrad DeCuyper will begin on October 12th.  The Finance Council will address the parish on October 23/24.

CHAIR REMARKS- Welcome to new members Kathi Cannone & Tony Groat.  Thank you to Mark Bolduc and Norm Miller who have completed their terms.  Anna Hartz has completed her term as member at large and will be returning to the council next year as Faith Formation representative.

MINISTRY AREA REPORTS

CHRISTIAN SERVICE- A written report was submitted.  Some highlights were: 1.) Men’s Association awarded scholarships to Erin Kelly and Jason Laicha, 2.) Plus 50 meatloaf dinner was enjoyed by St. Madeleine Sophie and St. Gabriel’s parishioners in May.  The next dinner will be on June 17,  3.) Hospitality committee is in need of a new chairperson.  Perhaps this need can be highlighted at the ministry fair, 4.)The next Red Cross Blood Drive will be held on June 29th from 2-7 pm in the parish center, 5.) Fr. Powhida is planning to re-energize the visitation ministry, and 6.) The refugee family is doing well.  Mr. John has been accepted in HVCC.  Bob Dylong submitted written information about Fair Trade Coffee.  He is hopeful another group will volunteer to coordinate the coffee sales. 

ADMINISTRATION & FINANCE- Steve Golas discussed the Finance’s Council work with the budget.  Weekly contributions are down, possibly related to the economy and change in mass schedule.  Contributions to the parish enhancement and debt reduction fund have remained good and the outstanding debt has been steadily decreasing. The Finance Council is looking for ways to cut expenses.  Some suggestions have been reductions in Evangelist subscriptions, distributing envelopes at church instead of mailing them, and changes in hospitality refreshments. The Finance Council is also looking into electronic giving programs. The Bishop’s Appeal assessment is $109, 965.  So far, 481 donors have contributed $90,511.  The number of donors is up from last year, but the amount of the contributions is down. 

SCHOOL-Trustees, Gene Therriault and Judy McKenna attended the Catholic School Management’s presentation on May 17th for developing an annual fund to benefit the school.

OLD BUSINESS

Year for Priests-Marie Montone invited members of the council to attend the Holy Hour on Sunday June 13th from 3-4.

Discernment Committee- Kathi Cannone spoke about her moving experience with discernment.  Tony Groat concurred.  Both felt it was a much better process than voting.  The pastoral council agreed on an amendment to the by-laws to chose members of the council by the process of discernment only.

Reflection on Pastoral Council goals-  The goals for 2009-2010 included more involvement of youth in parish activities, encouraging intergenerational activities, greater linkage between our parish and St. Gabriel’s and continuing to educate ourselves about evangelization.  Although much progress was made in all areas, the Council felt more could be done and it was decided that we would continue working on these goals for next year.  

PASTOR’S REMARKS

Fr. Jim reported that the inaugural event for the diocesan evangelization program, Amazing God was taking place tonight.  A workshop on skills for evangelization will be held on June 22 and 23rd at the Carondelet Center.  A reception for the Sisters will take place after the 11:45 am mass on June 20th in the gathering area.  All are invited.  The joint search committee ran an ad in the Evangelist for the available positions.  We have had a few inquiries so far.  The committee will meet on Wednesday evening. 

ELECTION OF CHAIR AND VICE-CHAIR FOR 2010-2011

Fr. Jim reconvened the pastoral council.  The Council selected Gloria Towle-Hilt and Terry Bouchard to continue as Chair and Vice-Chair next year.

Update on refugee family:  The family can use some summer clothing (boys 2T and 4T, mother size 8/10, and father medium).  John has gotten his driver’s permit and is practicing driving with Fr. Jim and Gloria. 

MINISTRY AREA REPORTS

LITURGY TEAM- A written report was submitted.  An evaluation of Lent and Easter was done.  Collaboration with St. Gabriel’s will be expanded next year.  Elijah cups will begin again on May 29/30.

FAITH FORMATION- Written report submitted.  Registration for next year has begun.  Many catechists for next year have been recruited already.  RCIA went very well this year.  The ACE Team has put together a survey for parishioners to help in planning Adult Christian Enrichment activities.  Vacation Bible School will be held the week of July 19.  Spring Enrichment is next week. 

YOUTH MINISTRY-Written report submitted.  The 30 Hour Famine went well.  They surpassed their goal of $10,000.  The Group Work Camp mission trip is scheduled for July 25-31.  A male chaperone is still need.  An interest meeting is scheduled for Wednesday, May 19th for anyone considering being a chaperone.  Tahlia asked for suggestions for future events.  Gloria suggested the Habitat for Humanity trip to Georgia during February break. 

SCHOOL-Written report submitted.  May crowning will be held on May 14th.  The Drama Club will perform the Wizard of Oz on May 18th at 6:30 pm in the parish center.  Sixty-three children are involved.  So far, 91 students have registered for grades K-5.  The website will be up and running on May 14th.  The Gala raised over $25,000.  Teresa thanked all who worked on or attended the Gala.  Catholic School Management will present an annual fund drive workshop on May 17th from 7-9:30 pm.  

OLD BUSINESS

 Discernment Committee- Discernment nominations were due today,  May 3rd.  Fourteen nominations have been received.  Discernment will take place on May 26th from 7-9 pm. 

 Proposals for By-Laws Changes- No change was recommended in the discernment and election process.  A possible change to the term length will be discussed at a later date.  

 Council Goal:  Evangelization-Parish council members have begun reading Go and Make Disciples.  The theme that we must continually be converted was emphasized in the beginning sections.  Parish council members were asked to read pages 17-39 for the next meeting.  Fr. Jim spoke briefly about the Evangelization meeting at St. Paul’s on April 27th.  The three-year program, Amazing God, has three basic themes, God is Love, Heart of Christ, and Filled with the Holy Spirit.  Another presentation about evangelization will be held at the Carondelet Hospitality Center in Latham on June 22-23. 

 Update on Search for New Faith Formation Associates-A joint search committee with St. Gabriel’s has been established.  Fr. Jim, Teresa, Tahlia and Anna Hartz from St. Madeleine’s and Annette Brooks, Jeff Madej, and Edith Culligan from St. Gabriel’s.  Drafts of the job descriptions have been written up.  The search committee will meet on May 17th at St. Gabriel’s.

 PASTOR’S REMARKS

 Fr. Jim reported the Bishop’s Annual Appeal has begun.  There has been a good response so far.  New pastoral council members will be welcomed at the June meeting.

MINISTRY AREA REPORTS

CHRISTIAN SERVICE- A written report was submitted.  Angela Diamond has volunteered to chair Plus 50.  She will cook for the dinner on April 29th.  St. Vincent de Paul society has seen an increase in the number of families they are helping.  The Christ Child Society worked in the kitchen for the Hair of the Dog concert and cleared about $800.  The next Blood Drive will be on June 29th.  The refugee family has an apartment in Troy.  The father is applying to Hudson Valley Community College to take auto mechanics.  They have connected with other families from Myanmar in the Capital District. 

ADMINISTRATION AND FINANCE- Steve Golas reported that the Finance Council will meet again in early May.  An audit was done by Barbara Murin from the diocese on April 7th. Policies and procedures were reviewed.  A full report will arrive later.  Any budget items for the Finance Council should be submitted soon. 

OLD BUSINESS

Evening of Reflection on Evangelization-Those who attended the Evening of Reflection were very pleased.  They found Phyllis Cardona very inspiring.  Fr. Jim suggested the Pastoral Council opening prayer be adjusted to include a time to share personal experiences.  We can begin evangelization by evangelizing ourselves.   He also spoke about an Orientation to Evangelization at St. Paul’s on April 27th at 7 pm.   All were invited to attend.      

Discernment Committee- A written timetable was submitted. The due date for discernment nominations is May 3rd.  Discernment will take place on May 26th from 7-9 pm.  

NEW BUSINESS

ACE-Adult Christian Enrichment- Lorraine DeCuyper spoke to the Pastoral Council about the newly formed ACE Team, which grew out of PARET.  They will be distributing a survey to see what people’s preferences are for adult enrichment.  Lorraine will speak at all the masses on April 24/25.  

Proposals for By-Laws Changes-Changes in the discernment and election processes were discussed as well as changes to the term length.  This will be discussed further at the next Pastoral Council meeting.        

Faith Formation Changes-Sr. Marilyn and Sr. Sheila will be leaving at the end of June after 27 years of service at St. Madeleine Sophie parish.  A celebration will be planned.  Other models of faith formation were discussed.  The Called to Be Church plan included a director of Faith Formation to be shared between St. Gabriel’s and St. Madeleine Sophie.  The director’s salary would be shared between the parishes (1/3 St. Gabriels, 2/3 St. Madeleine Sophie).  Each parish would have a coordinator/administrator of Faith Formation. A search committee will be formed.

PASTOR’S REMARKS

Fr. Jim reported that the Triduum and Easter went well.  The combined St. Gabriel’s and St. Madeleine Sophie Easter Vigil went well.  Fr. Jim received good feedback from the congregation.

MINISTRY AREA REPORTS

PRAYER & WORSHIP-

A written report was submitted.  Marie explained that the Elijah Cup will begin again after the Easter season and continue until the end of June.  Theresa Schweigert will present Praying with St. John Vianney in the Year for the Priests on March 17th at 7 pm and March 22nd at 10 am. 

FAITH FORMATION-A written report was submitted. 

YOUNG ADULT AND YOUTH MINISTRY-

A written report was submitted.  The High School Youth group met last Sunday at 6:30 pm.  Eight teens attended.  The confirmation retreat on Saturday went very well.  Eighteen have signed up for the 30-hour famine so far.  Their goal is to raise $10,000.  Luck of the Irish bingo for Jr. High youth will be held on March 17th. 

SCHOOL

A written report was submitted.  Teresa spoke about the many Lenten practices the children are participating including the Stations of the Cross and the Lenten Retreat on March 31st.  The Social Studies fair will be held on 3/24/10.  Re-registration and registration for next year have begun.  The use of the FACTS program for electronic tuition collection is being discussed.  The children are involved in many extracurricular activities including cooking class, drama club and bowling.  Teresa is interviewing teachers for a 4th grade substitute for Mrs. Battuello. 

OLD BUSINESS

An Evening of Reflection is planned for Wednesday, March 24th from 6-9 (which will include a light supper).  Phyllis Cordona will speak about Evangelization.  Parishioners from St. Gabriel’s will also be invited.  Gloria, Judy, Terri, and Michelle volunteered to work on this subcommittee.         

NEW BUSINESS

Refugee Resettlement—The family is expected on March 12th.  They are a Burmese family with 2 young boys ages 1 ½ and almost 5.  There will be a meeting on Wednesday at 7 pm for all interested in assisting this family. Catholic Charities is looking for a suitable apartment in Albany

Discernment Committee--  Four at large representatives (3 adults, 1 youth) will be discerned this year.  Norm Miller, Anna Hartz, and Mark Bolduc will end their terms this year.  Taylor Pugliese ended his term early to attend college.  Anna, Judy, Marie and Gloria will work on the discernment committee. 

Any changes in the bylaws must be submitted and voted on by June 1st.  A possible change in the wording for elections was suggested.  The bylaws will be emailed to all pastoral council members for review.      

Interfaith—Pat Rein explained “The Church has Left the Building” program.  Some churches in the Interfaith Council will be participating in service projects on May 1 & 2. 

PASTOR’S REMARKS

Fr. Jim reported that plans for Easter and the Triduum are underway.  St. Gabriel’s and St. Madeleine Sophie churches will celebrate the Easter vigil mass together.  Fr. Jim suggested the pastoral council discuss at their next meeting criteria for activities in the gathering area.

MINISTRY AREA REPORTS

 ADMINISTRATION- The Finance Council met last week.  They discussed the deficit in revenues (off by $29,500).  The economy and one less mass have impacted the collection.  The yellow envelopes have been covering the mortgage payments.  At the March meeting, they will work on the budget.  There may also be a presentation on electronic donations.  The next capital projects will be repairing the crack in the parish center wall and replacement of the convent roof.

 CHRISTIAN SERVICE-A written report was submitted.  Elaine Hendricks is unable to coordinate the Plus 50 dinners any more.  Fr. Jim and Jeff Morrette prepared chili for the St. John’s Welcome Table last month.  Another meal will be needed in March.   No news on the refugee family.  Gerry Lynch is finding it difficult to find an appropriate apartment for the suggested rent.    Sr. Sheila thanked the Men’s Association for the bibles for confirmation.  The Men’s Association has started selling Hair of the Dog tickets.  Sales were very good this weekend. 

 FAITH FORMATION-Lorraine DeCuyper has agreed to lead PARET.  A presentation on St. Paul by Glenn Smith will be held on Tuesday, March 9th.  Tuesday religious education classes will be attending.  All others are also welcome to attend. 

 YOUNG ADULT AND YOUTH MINISTRY-Thirty-hour famine has been scheduled for April 16/17.  There will be a hot cross bun sale on March 14/15. 

 SCHOOL-Last month, Teresa Kovarovic and Terri Bouchard attended a joint school board meeting.  Terri thought it was very helpful to learn more about the activities of other school boards.  The ziti dinner will be held on Saturday, February 6.  Krause’s candy order forms will be distributed after masses.

 Fr. Jim felt the Christmas celebration went very well.  The Christmas midnight mass was not as well attended as in the past, but the 7 pm vigil mass was better attended.  Planning for a common Easter vigil mass for St. Gabriel’s and St. Madeleine Sophie churches is taking place.  The Liturgy Team is working on Lent and Easter preparations.

Chair remarks:  Terri thanked Tom Breedlove for attending the meeting and representing Christian Service.  She spoke about the goal of Evangelization for the Pastoral Council and resources that were available.   

MINISTRY AREA REPORTS

CHRISTIAN SERVICE-A written report was submitted.  Tom Breedlove discussed a few topics including   Christ Child Angels (a service group of the Christ Child Society for youth), which is the first of its kind in the nation, and the Christ Child Society bake sale on December 12/13.  The St. Vincent de Paul Society has sent out the Thanksgiving letters and responses are coming in.  The green envelopes which are inserted 3 times a year have been providing much needed funds.  Parish youth are planning to help with the Thanksgiving baskets.  The Boy Scouts collected food and paper products for the food pantry.  Plus 50 is looking to have more people attend their dinners.  A Blood Drive will be held on December 23rd in the parish center from 4-7 pm.

SCHOOL-
The St. Nicholas Breakfast will be on Sunday, December 6th.  The Christmas concert will be held on December 11th at 6:30 pm.   

ADMINISTRATION & FINANCE COMMITTEE-Steve Golas reported that the financial statement and pulpit presentations were well received.  He said that parishioners have been very generous and the parish is in very good shape financially.  The weekly collections have been down a little after the mass schedule change.    The sidewalks have been repaired and extended to the pavilion and back parking lot.  Work on the rectory roof has been completed.  The cracks in the back corner of the parish center are being monitored.                 

COMMITTEE REPORTS

Time and Talent-A written report was submitted.  Dan explained that there has been a decrease in the number of responses from last year in each ministry area.  Many felt that people who were already involved in a ministry didn’t feel they needed to fill out a form.  Anna is working with survey monkey for possible use next year.  Dan will report again in January.   

NEW BUSINESS

Parish Convening-Earle Flatt and Marie Montone attend the convening on November 7th.  They both felt the keynote address by Fr. Gerald Fagin was very good. 

Pastoral Council Goal-Evangelization-  A 3-year Evangelization program called Amazing God is available for parishes.  Resources will be available for Advent, Lent, and Pentecost.  Personal evangelization will be encouraged first and then outreach to others.  At the interfaith meeting, churches discussed working together on a service project.  Pat Rein explained a service project day that Christ Church has been doing.     

PASTOR’S REMARKS

Fr. Jim read the Worldwide Marriage Encounter statement.  It will be distributed by email for all to read.  Fr. Jim will be in contact with someone from Marriage Encounter to speak at a future meeting.  Fr. Jim discussed the priest convocation in November.  The need for a unified presbyterate was emphasized.  There may be some polarization within the church, but the core truth is more important.  There has been more evidence of anxiety as Bishop Hubbard’s retirement in 4 years approaches.

Chair remarks:  Two articles from the America magazine were distributed to the council, “Faulty Guidance” and “God and the Teenage Mind”.  Council members were encouraged to spread the word about the parish convening on November 7th at CBA.  Gloria also mentioned the event on Sunday, October 25th honoring Joan Dunham and her work with the Jewish Christian Dialogue.  The use of email for pastoral council communication seemed to work well except for the school report, which some were unable to print. 

MINISTRY AREA REPORTS

FAITH FORMATION—A written report was submitted.  Sr. Sheila reported that the classes have gotten off to a good start.  Children’s Liturgy of the Word began on October 4.  About 20 children attended.  Sr. Sheila was very happy to tell us that RCIA now has 7 candidates (6 from St. Madeleine’s and 1 from St. Gabriel’s).  The 30 Hour Famine will take place on March 19/20.  Several events have been planned for Junior High and High School youth including volunteering at the regional food bank and a mission trip.

SCHOOL-A written report was submitted.  Some highlights were:  new faculty members, Avery Tunningley (music), Janis Camp (part-time nurse), and Patty Lindman (part-time nurse), the marathon and family fun day on 9/25 & 9/26 went very well, and blessing of the school cornerstone on 10/24 after the 4 PM mass.

PRAYER & WORSHIP-A written report was submitted. The Liturgy Team will meet next week.  They will review the impact of the new mass schedule on liturgical ministries, scheduling and sharing of resources.  They will study Sunday in the Absence of a Priest and Sing to the Lord: Music in Divine Worship.  A subcommittee has been set up to implement ideas for Year for Priests.  The Elijah Cup program to pray for vocations will begin in January.               

COMMITTEE REPORTS

Time and Talent-The deadline for Time and Talent sign-up sheets is October 14th.  There will be a report to the pastoral council in November.  Anna Hartz discussed the on-line survey that is being tested for next year. 

GOALS FOR 2009/2010

The following goals were accepted by the Council:

·                     Foster the involvement of youth in parish life.

·                     Promote intergenerational opportunities for service and/or spiritual growth.

·                     Explore and develop ways to strengthen the linkage between our parish and St. Gabriel’s.

These goals will be relayed to the ministry areas and progress toward the goals reflected in their reports back to the pastoral council.  All agreed that it will take time to accomplish these goals and that even small gains are important.  A goal of the Pastoral Council is to educate itself for a better and deeper understanding of evangelization/outreach. 

PASTOR’S REMARKS

The Finance Council met and will provide the budget and financial report at the Pastoral Council meeting next month.  They will talk at all masses on 10/24 &10/25.  Construction on the sidewalks has begun.  Bids have been received for a new roof for the rectory.

     Chair remarks:  Dan thanked Carm Brooks and Charlie Bouchard for their time on the pastoral council.  He welcomed new members Julianne Bouchard, Michele Freeman, and Barry Krawchuk, and thanked Terri Bouchard for accepting a second term. 

     Ministry Area Reports

Administration/Finance— At the Annual Meeting on May 22nd, Sue Hanson was thanked for her past service as trustee.  Judy McKenna was appointed a trustee and Gene Therriault was re-elected.  The budget, which the Finance Council had prepared, was signed. The budget reflects a slight increase in the weekly collection up to $12,800.  Miss Kovarovic requested an increase in the school subsidy, which was approved.  The increase will help provide a full time nurse for the school.  Upcoming projects include work on sidewalks, the rectory roof, and windows.  There was a mailing for the Bishop’s Appeal last week to those who have not yet responded.  Presently 419 households have made a pledge/contribution totaling $88,391 towards our assessment of $105,736.  Steve Golas will replace Mike Murphy as Finance Council representative.   

             Christian Service—A written report was submitted. The Men’s Association announced the scholarship winners:  Robert Foo and Taylor Pugliese.  The next Hair of the Dog concert will be on March 20, 2010.  Tickets are still available for the Yankee game.  The St. John’s Welcome Table needs volunteers on June 27, July 25 and August 22nd.  It is harder to get volunteers in the summer.  The next Red Cross blood drive will be on June 30th from 2-7 pm in the parish center.  The Respect Life Hour of Adoration is held on the fourth Thursday of the month and has been well attended.  Fr. Jim reported on the Refugee Resettlement Project.  A family of 5 from Iraq will be coming soon.  The St. Vincent de Paul Society has committed to donating $1000 for food.  The Islamic Center may be able to help with cultural issues.  There will be a Catholic Moslem dialogue at St. Rose on Tuesday, May 9th.   

              Faith Formation—The Search Committee has interviewed applicants for the Youth Ministry position and are hopeful a new Youth Minister can begin the position on July 1st.  Members of the Search Committee included Sr. Marilyn, Sr. Sheila, Anna Hartz, Paul Doyle, Taylor Pugliese, Laura Napoli, and Kathy Napoli.  Jan Jarvis was acknowledged for her impressive work on the ads. 

 

     Committee Reports

             Election Committee-Gloria thanked Taylor, Terri and Norm for their work on the election committee.  Congratulations to Terri Bouchard, Julianne Bouchard, Barry Krawchuk, and Michele Freeman. 

     Pastor’s Remarks— Next Monday June 8th  at 7:45 pm,  the pastoral council will attend a pastoral council meeting at St. Gabriel’s.  The report for Called to Be Church will be discussed.  The Maryknoll sisters will be here next weekend.  The taping for the Table of the Lord will be tonight. 

      Selection of Chair/Vice-Chair—Gloria Towle-Hilt was elected Chair of the Pastoral Council and Terri Bouchard was elected Vice-Chair.

Ministry Area Reports  .    

            Faith Formation—Written report submitted.  One hundred children will celebrate their First Communion on Saturday, May 9th at  9 AM and 11 AM.   Sr. Marilyn and Sr. Sheila were very pleased that so many 8th grade parents volunteered to teach modules in the High School program next year.  The deadline for applications for the Youth Minister position was May 1st.  Seven applications have been received.  Next week the Search Committee will meet and review the applications.   Members of the Search Committee include Sr. Marilyn, Sr. Sheila, Anna Hartz, Paul Doyle, Taylor Pugliese, Laura Napoli, and Kathy Napoli.

            School—Teresa explained the Strategic Planning process and distributed goal statements and  specification of action plans.  They have been working on this project since September 2007 and will continue for two more years.  They are working towards Middle States accreditation. 

            So far they have 38 children registered for kindergarten next year.  Several area schools have added full day kindergartens, so enrollment at SMS may change.  Grade 5 is going to St. John’s/St. Ann’s to serve lunch on Tuesday.  The Drama Club will present Peter Pan on May 12th at 6:30 pm.  The May Crowning and special persons day will be on May 15th at 1:30 pm.  The Spring Gala was held on April 24th and was well attended.

            Liturgy Team—At their last meeting, they evaluated the Lenten season, the Triduum, and Easter celebrations.  Next year, there may be a common Easter vigil with St. Gabriel’s.  The graduation liturgy will be on June 7 at the 11:30 am liturgy.  The Evening of Prayer and Reflection for Liturgical Ministers will take place Tuesday evening at 7 pm.  Fr. David Mickiewicz will be the presenter. 

            Christian Service--The Mission Trip to Appalachia went well.    Thirty-one people went including      Mike Dvorzak, Alex Dvorzak, Nicole DeGrado, Caitlin Campbell, Tom Dvorzak, Gloria Towle-Hilt, and Cathy Brennan from St. Madeleine Sophie’s parish.  The teenagers will give a short presentation after mass this weekend.  On Sunday, May 3rd there was a shareholders dinner at St. Helen’s to thank contributors.  It was very well attended.    

     Committee Reports

           Election Committee-The committee met at 6:30 pm with the nominees, 3 youth and 3 or 4 adults for 1 youth position and 3 adult positions.  There was discussion about printing nominee bio’s and whether they should be a bulletin insert, posted on the lattice, or put in the gathering area to be picked up by parishioners.   It was decided that short bio’s will be placed in the bulletin.  Taylor Pugliese will send the info to Cathy for this week’s bulletin.  Gloria reminded the council that according to our by-laws, ministry areas representatives should serve two-year terms.  Administration and Liturgy Team will have new representation in 2009 and Christian Service and Faith Formation terms will begin in 2010.           

 

Pastor’s Remarks— On June 8th, the pastoral council (with both outgoing and incoming members) will attend a pastoral council meeting at St. Gabriel’s.  A report for Called to Be Church is due in June to explain the ways St. Gabriel’s and St. Madeleine’s are working together .  Faith Formation and RCIA continue to work together and plans for a common Easter vigil next year are being discussed.  There may be some linkage with Vacation Bible School next year.  Mass schedules have been discussed.  With the current number of priests, the vigil mass schedule could be 4pm at SMS and 5:15 pm at St. Gabriel’s .  Sunday masses at 8 am, and 10:30 am at St. Gabriel’s and 9:15, 11:45 and 7:30 pm at SMS.  If there are fewer priests available, vigil masses at 4pm at SMS and 5:15 at St. Gabriel’s and Sunday masses at 10:30 am at St. Gabriel’s and 9 am, 11:45 am, and 7:30 pm at SMS.

            Sr. Maryanne Comfort from Catholic Charities has an Iraqi family of 3 for resettlement.    A meeting will be scheduled to generate interest in this project. 

            Sue Hanson’s term as trustee is completed.  Fr. Jim thanked Sue for all she has done.  He will recommend Judy McKenna to the Bishop as the new trustee.

Ministry Area Reports 

Christian Service 
Gloria Towle-Hilt reported that the Hair of the Dog concert was very successful.  The St. John Welcome Table has been going well, and the Twinning Cooking group will cook for next month.  The Plus 50 dinner originally scheduled for March 26th was cancelled because Elaine Hendricks was injured in a fall.  Gloria spoke to Lisa Dorries about the Hospitality Committee.  The Welcome Weekends will start after Easter.  The Blood Drive went very well.  65 people participated; 17 were first timers.  The next blood drive will be on June 30. 

The Mission Trip to Appalachia will leave on Easter Sunday.  Thirty-four people will be going.    Mike Dvorzak, Alex Dvorzak, and Nicole DeGrado spoke at all the masses and asked for prayers and donations.  $2947.50 was raised.

The Respect Life Team has been active.  The Holy Hour for Life from 6-7 pm during Adoration has been well attended.  Many people stopped after mass to see the DVD “Advocating for Life” which explained the FOCA and RHAPP legislative measures.  

No news on the refugee resettlement .  Sr. Maryanne will keep us informed.   

Committee Reports

Election Committee-The committee met and drafted a timeline, which was distributed to all Council members.  Bulletin announcements and pulpit announcements have been sent to rectory.  Nomination forms will be in the bulletins 4/18-4/19, forms will be in the pews 4/25-4/26 and nominations will be due April 26.  Election ballots will be in the pews May 16/17 and results announced on May 23/24.  Newly elected members will attend the June 1st meeting.  The dates may be changed  depending on the dates for the Bishop’s Appeal.

Pastor’s Remarks— An Evening of Prayer and Reflection for liturgical ministers will be held on May 5 at 7 pm.  Fr. David Mickiewicz will be the presenter.  Planning for the Triduum and Easter have been going well.  We will have a combined pastoral council meeting with St. Gabriel’s on June 8tt.  

The Schenectady Deanery has been discussing the number of activities on Sundays.   Gloria said Guilderland schools try to be sensitive to all faiths and their Sabbaths.  As Catholics we have several options of times to attend mass but some faiths are more limited. 

The distribution of Easter food baskets will take place on Saturday, May 4th.  Hams have been coming in and the pantry is well stocked.

Ministry Area Reports:.    

            Faith Formation-  A written report was submitted.  During Lent, Religious Education classes will bring in food for the St. Vincent de Paul Society.  There will be reconciliation for the Thursday 5 pm classes on March 19th.  The first communion meeting with parents of 2nd graders went very well.  All are now signed up for first communion.  The Rite of Sending Forth was held on Sunday.  Our catechumen, Karoline Westerling, also attended the Rite of Election at Blessed Sacrament.  A timeline for the search for a Youth/Young Adult Minister was given, beginning with an announcement in the church bulletin on March 28/29.  The job will begin on July 1, 2009.

            School-A written report was submitted.  Registration for next year is ongoing.  So far there are 25 in the kindergarten.  The open house on 2/4 was very well attended.  Some extracurricular activities offered are Cooking Classes, Dancing, Ski Club, Bowling and a new Drama Club.  Strategic planning goals will be presented to the School Board on March 4th.  The ziti dinner was very successful and raised $1,724.  During Lent, the students will attend Stations of the Cross and collect food for St. Vincent de Paul Society.  They will have a Lenten Retreat on April 8th. 

            Administration & Finance-A written report was submitted.  The next Finance Council meeting will be on March 23.  They will begin the budget process at that time.  Plans for an electronic funds transfer system for weekly offerings will be discussed.  There are no plans to expand the parking lot at this time.  The sidewalk in front of the church will be repaired and sidewalks to the parking lot and pavilion will be added. 

Committee Reports

            Election Committee-Gloria Towle-Hilt, Terri Bouchard and Taylor Pugliese volunteered to work on the Election Committee.  Terri Bouchard, Carm Brooks, Charlie Bouchard, and Dan Bolognino will complete their terms this year. 

Pastor’s Remarks— Lent is off to a good start.  The Ash Wednesday masses were well attended both here and at St. Gabriel’s. 

            There will be a joint meeting of St. Gabriel’s and St. Madeleine Sophie’s pastoral councils tentatively in May. 

            We will learn more about the refugee resettlement plans in 6-8 weeks, possibly a family from Somalia will be coming.

Ministry Area Reports  .     

            Christian Service  A written report was submitted. 

 Fr. Jim discussed the Refugee Resettlement Plan that was explained by Sr. Marianne Comfort of Catholic Charities at a meeting on Tuesday, January 26th.  The primary refugees at this time are from Iraq and Burma.  It was felt that we would not be able to receive refugees until after April at the earliest.  The cost is approximately $3,000-$5,000 for resettlement, and we already have $2,000 from our previous resettlement.  St. Gabriel’s will be invited to work with us on this project.  Fr. Jim felt that a core group of about 10 people would be needed as well as others to assist with housing, furnishing, transportation, and financial planning.  A case manager from Catholic Charities would also be working with the refugees.

             Sandy Miller is working on a course outline for training for visitation ministers.

            Caroline reported that more help is needed for the Salvation Army Ministry. 

            A blood drive is scheduled for Saturday, March 28th.  The blood drive held in December was very successful. 

 

Pastor’s Remarks— The Called To Be Church decisions were announced.  St. Gabriel’s and St. Madeleine Sophie parishes will strengthen their linkage.  Fr. Belogi and Fr. Powhida will remain sacramental ministers for St. Gabriel’s.  The mass schedule will need some adjusting, but no reduction in masses as long as Fr. Tunny, Fr. Belogi and Fr. Powhida are still here.  Additional parking will be needed here at St. Madeleine Sophie’s. 

            Immaculate Conception in Schenectady will be closing.  St. Margaret of Cortona will become a mission of St. Joseph’s in Schenectady. 

            Fr. Jim has not gotten any formal nominations for replacing Sue Hanson as trustee.  He is still accepting recommendations.  The term is 1 year with renewal up to 6 terms.

      Ministry Area Reports  .    

            Faith Formation  A written report was submitted.  First Reconciliation will be celebrated this Saturday at 11 am and Tuesday, January 13 at 7 PM.  The High School modules began today.  Confirmation was held on December 2nd at 6 pm.  The earlier time seemed to encourage more people to attend the reception in the parish center.  The Rite of Sending Forth and Rite of Election for RCIA will be held on March 1st.  The Faith Formation Board met on December 15th.  Laura Conroy has accepted a position at Our Lady of Victory in Troy.  After the Called to Be Church final report has been received, further work will be done to fill the Youth Ministry position.  Fr. Jim explained the importance of a Youth Ministry Board to engage other members of the parish. 

             School  Teresa will give a report next month on strategic planning.  The Christmas concert was rescheduled for Thursday, January 8th at 6:30 pm in the church.

             Liturgy Team  Julie Haynes was absent.  Fr. Jim reported that Advent and Christmas went very well.  All the liturgies were well attended.  The Liturgy Team will continue formation for all liturgy ministers this year.

       Committee Reports

Time & Talent--Dan gave a final report.  Responses were up overall, with only Prayer and Worship having slightly fewer responses.  A written report was submitted.   

        Pastor’s Remarks— The Called To Be Church letter should be coming next week and will be read at the masses on January 17 & 18th.  Implementation will be up to the parish leadership and could begin soon.

            Fr. Jim explained the responsibilities of the trustees and asked for nominations to replace Sue Hanson who has already served her term.  A trustee must be a member of the parish in good standing who is of legal age.  Some business and organization knowledge is helpful.

Ministry Area Reports  .    

            Christian Service  A written report was submitted.  Gloria did not have reports on Respect Life, Visitation, or Bereavement ministries but will give updates at a later time.  The Men’s Association will meet on 11/18.  They are working on getting bibles for the Confirmation class.  Gloria is very grateful for all the volunteers helping at St. John’s Welcome Table and Twinning Group.  The numbers of people served has continued to increase.  The Christ Child Society had a recruitment tea on 10/22.  They will have a night of reflection on 11/17.  Plus 50 continues to cook meals for St. John’s welcome table every other month.  Hospitality on Sundays is going smoothly.  They will meet in January to plan Welcome weekends (3rd Sunday of the month) for next year.  The number of people served by the Salvation Army ministry continues to rise.  Habitat for Humanity continues to work on the 5 houses on Emmet Street.  Over 50 voter registration cards and 60 absentee ballot forms were distributed.  St. Vincent de Paul Society has 98 families on their Thanksgiving list and 15 on the waiting list so far.  The Red Cross Blood Drive on Sept. 27th was very successful and more dates are being planned.     

            Liturgy Team  A written report was submitted.  They are continuing formation for all liturgy ministers and will finalize the lector guidelines soon.  They are planning an Evening of Reflection and will invite St. Gabriel’s parishioners as well.  Children from the school and Faith Formation will decorate ornaments for the Jesse Tree this Advent. 

Committee Reports

Time & Talent--Dan reported that Time and Talent went very well this year.  358 forms were returned and there were 842 ministry sign-ups. A few forms are still coming in. 

  Parish Convening--Gloria Towle-Hilt, Laura Conroy and Lorraine DeCuyper attended the convening.  Bishop Clark gave the keynote address.  He conveyed a message of hope and suggested focusing on Mary during Advent, a time of hope and expectation.  He reminded us to be aware of the people’s pain and anxiety during this time of change.

 Communication Seminar--Steve Virgadamo will speak at a comprehensive communication seminar on Tuesday, Nov. 4 from 7-9 pm in the parish center.  This is part of the strategic planning process that the school has been involved in for 18 months.  All parish council members are invited to attend. 

 Pastor’s Remarks— Fr. Jim spoke about Evangelization, and possibly mailing to new people in the area with respect to other faith communities and other Catholic churches.  There is declining participation within many churches.  The Evangelical churches seem to have good membership but people generally only stay 5 years.  Possibly a speaker could help us learn more about evangelization. 

            Caroline and Fr. Jim attended the evening prayer and reception on Sunday for those who worked on Called To Be Church.  The Review Committees are looking at the recommendations.  Some alternative recommendations have been sent out, but not in our planning group.  The Bishop’s recommendations will come out in January.

Ministry Area Reports  .    

            Faith Formation  A written report was submitted.  Religious Education classes have begun.  Children’s Liturgy of the Word started this Sunday.  RCIA sessions have also begun.  There are 2 candidates from St. Madeleine Sophie.  PARET is sponsoring a talk by Helen Moon on October 8th entitled “The Why’s, What, How’s and When’s of Nurturing Adult Faith.”

             Young Adult & Youth Ministry  A written report was submitted.  Sixty youth participated in the 30 Hour Famine and raised approximately $8500.  The first Core Team meeting was held on 9/29.  Laura was impressed with the commitment of the adults and youth who attended.  She is planning a get-together for youth after the 7:30 pm Mass on 10/26.  More adult leaders are needed for the Confirmation Retreat Team which will meet on Sunday, October 12 from 5-7:15 pm. 

             School—A written report was submitted.  The school marathon went very well.  $7000 has been raised so far.  The school is participating in Healthy Steps and trying to reach their goal of 2000 miles.  The library and computer lab has been renovated. 

            Administration—Written report submitted.  The Finance Council met on Monday, September 15th.  Mike Murphy briefly discussed the parish financial statement.  The sidewalk project is the next priority, then an expansion of the parking lot.  The Finance Council will disclose the financial statement on 10/25 & 10/26.     

 

Committee Reports

Time & Talent-Dan reported that the ministry fair went very well.  Approximately 300 forms have been returned so far. 

 

Pastor’s Remarks—Fr. Jim thanked Dan and the Time and Talent Committee for their work on the ministry fair.  He encouraged members of the council to attend the Parish Convening on October 25th at CBA.  Copies of Today’s Parish Minister and an article by Bishop Hubbard about evangelization were distributed.  Hopefully the sidewalks will be completed this fall.  The review committee for Called To Be Church requested more details about the proposed linkage between St. Madeleine Sophie and St. Gabriel’s.  Annette Brooks (PLD of St. Gabriel’s) and Fr. Jim wrote a more detailed explanation to help address their concerns.

Ministry Area Reports:
Faith Formation--
A written report was submitted. Sr. Sheila added that Vacation Bible School will be held from July 14-18, and that Carolyn Kelly has all the volunteers she needs to run the program. Laura updated the council on the Young Adult Supper on Sunday. Brian Slezak attended and gave the group information about the Frassati Society.

Christian Service—A Christian Service meeting is scheduled for this Wednesday. There is a Red Cross blood drive this July. St. Madeleine Sophie parish will sponsor a blood drive in the fall. Applications to register to vote are available at the information counter. More information will be in the bulletin. Denise Field and Joan Santilli have volunteered to run the twinning cooking for Julie Breedlove who will be stepping down. Fr. Powhida is looking for more visitation ministers for the homebound and those in the hospital.

Administration—A written report was submitted. Mike Murphy reviewed the budget and answered questions. He reported that the average ordinary offering has increased, although there has been less use of the yellow envelopes. He explained that the parish maintenance fund is a saving account that is used for large maintenance projects such as the repair of the parish hall roof and sealing of the parking lot.

 

Called to be Church—Fr. Jim told the pastoral council that the deadline for recommendations is June 30, but the recommendations are not yet finalized. The core team will meet on Wednesday at 7 pm at OLA. It is expected that the following recommendations will be made: 1.) linking to merge OLA and Immaculate Conception 2.) linking Our Lady of Fatima in Delanson with OLA 3.) closing of St. Margaret of Cortona . and 4.) linking or merging St. Madeleine Sophie and St. Gabriel. Five masses will probably be recommended (3 at St. Madeleine Sophie and 2 at St. Gabriel’s).

Committee Reports

Discernment-Gloria felt that the discernment was very successful. The entire process took approximately 7 weeks. The actual discernment was about 2 hours long. Any suggestions can be emailed to Gloria. Members of the pastoral council felt that discernment was a very good process. Some felt that discernment should always be used instead of elections. Some felt that elections gave the parishioners more say and that many people didn’t really understand the discernment process. It was felt that parishioners needed to have more information during discernments as well as elections.

Pastor’s Remarks—Fr. Jim spoke briefly about the Bishop’s Appeal. There have been 555 responses received but we haven’t reached our assessment yet. He thanked the members of the council who have completed their term as well as those who were newly discerned.

Ministry Area Reports .

Liturgy Team-- Julie Haynes reported that at the last Liturgy Team meeting they evaluated Lent and Easter and the team felt that things went well. The Graduation mass is scheduled for June 8 at 11:30 AM. Commissioning of eucharistic ministers will be at masses on May 24/25.

Called to be Church—Members of the Pastoral Council felt that the parish-wide meeting went very well although the attendance could have been better (110 people attended). Fr. Jim said that the Called to be Church core meeting will be on Wednesday, May 7th. It is hoped that the Administration Committee will be ready to present their recommendations at that time. The option of linkage to merger with OLA and Immaculate Conception is a strong possibility. Linking Our Lady of Fatima in Delanson with OLA is also being considered. The status of St. Margaret of Cortona has not been resolved. The possibility of linking or merging St. Madeleine Sophie and St. Gabriel is being explored. The pros and cons of linking versus merging were discussed. The Bishop, his staff and a committee will review all recommendations.

Committee Reports

Discernment-Gloria reported that 13 nominations were received, and 9 people accepted. There are 4 positions open for at large representatives. Discernment will be held on May 21st from 7-9 PM. Mike Murphy will prepare a bulletin announcement and Dan Bolognino will write prayers of the faithful.

Pastor’s Remarks—Fr. Jim spoke about the Bishop’s Appeal. The response was very good for the 1st week with a little under half of the assessment coming in. The second week had 161 additional responses for a total of 406 responses so far. Our assessment is up from last year ($102,000). First Communion will be held this Saturday, May 10th at 9 AM and 11 AM. There are 123 children receiving their first eucharist.

Liturgy Team A written report was submitted. Julie Haynes added that the Liturgy Team was preparing for Lent and Easter and will meet again next Tuesday. She mentioned that the Stations of the Cross with Clowns will be at St. Madeleine Sophie Church on February 29th at 7:30 PM.

Called to be Church—Cathy Golas and Earle Flatt were at subcommittee meetings and unable to attend the pastoral council meeting. Fr. Jim explained how the planning groups have been broken down into subcommittees: Administration, Christian Service, Prayer and Worship and Faith Formation. Sue Hansen is on the Christian Service subcommittee. She spoke about the Frassati Society which is a social and Christian service group for single people in their 20’s and 30’s. Brian Slezak from St. Margaret of Cortona is trying to get more people involved in it. There will be a communication planning meeting for Called to Be Church at St. Clare’s on February 13th. Preliminary recommendations are due on April 15th and final recommendations will be due in June. (See report below.)

Called to be Church report from Cathy Golas received after pastoral council meeting:

We had a prayer ceremony at St Gabriel's to begin the planning process among the parishes.  Many folks are struggling with the implications of what we are about to do--the meeting was very productive as facilitated by Fr Cebula of OLA

 The large group from Called to Be Church is now breaking down into committees in order to start making recommendations to the large planning group.  Each parish has at least 2 representatives on each of the committees.  Fr. Jim asked Srs. Marilyn and Shelia to serve on the faith committee--Paul Doyle and I are also on that committee. Other topics are administration (pastors, finance folks), life long faith formation( including Catholic Schools) , and social justice.  At our Feb meeting, we are to start giving the recommendations from each committee to the general large group and by April have a much firmer plan ready to present to the diocese.

Since the diocese is encouraging closure then merger then linkage, some folks are disturbed by that paradigm.  Considering the parishes in our group, we are doing pretty well--but inner city parishes will really be under pressure to reconfigure.   I think a lot of what our planning groups do will be to try to have our parishes work more closely together, consolidate programs in parishes, etc.  The biggest issue remains the sacramental ministry, as we will only have 3 priests for 5 parishes in the next few years.

A.     Faith Formation  A written report was submitted. First Reconciliation will be celebrated this Tuesday, Jan. 8th at 7 PM and Saturday, Jan. 12th at 11 am.  121 children are scheduled to receive this sacrament.  On Jan. 16th, there will be a meeting for parents of children who will be celebrating First Communion this year.  PARET will be offering a 6 week bible study course called Food From Heaven during Lent.  Liturgies for the Religious Education classes will be held on Jan. 22 at 7:30 pm for grades 6-8 and Jan. 31 at 5:15 pm for grade 1-8.  On Jan. 26th, children will assist with the 4 pm liturgy.

B.     Liturgy Team Will report next month.

C.     Christian Service-A written report was submitted. The St. Vincent de Paul Society did a great job distributing Christmas food baskets and gifts to 120 families in need.  Gloria will contact the League of Women Voters to organize voter’s registration in the spring.  She was able to sign up 21 blood donors for the Blood Drive next week.  Fr. Jim requested that she contact the Community Caregivers to speak sometime in the spring. 

 

VI.   Called to be Church—Cathy Golas said that they received their binders and will be reviewing the material.  The local planning groups will be looking into ways to merge, link or close parishes.  There will not be any stand alone parishes; all parishes will be linked or merged with another parish.  The five parishes in our planning group will have only 3 priests.  A draft is due on April 15 and the complete report due on June 30.  All the material can be found on the diocesan website.  The article “I Need Your Help” from the America magazine was distributed.  The next Called to be Church meeting will be on Jan. 16th at 6:30 PM at St. Gabriel’s Church.      

 VII. Committee Reports

A.              Time & Talent—A written report was submitted.  Kathy DeLaMater gave her final report.  The ministry sign-up numbers remained basically the same as last year.  The Faith Formation Board will discuss whether or not to continue with a separate sign-up weekend for next year.  The Wednesday Faith Sharing group would like to be included on the sign-up sheet under Prayer and Worship.  Dan Bolognino will chair this committee next year. 

B.              Discernment-Gloria Towle-Hilt distributed a draft timetable for discernment.  Rocco Solimando, Terri Bouchard, and possible Carm Brooks will work on this committee.   

VIII.           Pastor’s Remarks—Christmas was beautiful and went very well.  Attendance was good at all 5 masses, with the 4 PM mass being the most overcrowded.

    1. Christian Service A written report was submitted. The Plus 50 dinner was well attended. Pulpit announcement at mass has helped attendance. A certificate of appreciation was presented to SMS Salvation Army Ministry for their commitment to the hungry of our community. Approximately 140 meals are being served each service date. A few more helpers are needed.
    2. Faith Formation- A written report was submitted. Confirmation will be held on December 3 at 7 PM. The Afternoon of Reflection for 11th graders as well as the confirmation retreats all went very well. Laura spoke about youth from our parish volunteering at the Ft. Hunter Fire Department. Several youth helped with the Harvest Dinner and Halloween party and will help with Breakfast with Santa. Many youth have also volunteered to help with the Thanksgiving baskets here at SMS. Laura, Abby, Colin, and Deb Kizer will attend the National Catholic Youth Conference in Columbus this week. Abby and Colin designed a tee shirt that will be worn by youth from our diocese.
    3. Faith Formation-School-A written report was submitted. $12,000 was raised at the marathon and fun day this year, and approximately $3,000 was raised at the craft fair. The school children will be collecting food for the Thanksgiving baskets again this year. A strategic planning committee has been formed which will create a 5-year plan for the school.

 

VI. Called to be Church—Cathy Golas and Sue Hanson attended the meeting with the Bishop. The meeting was well attended, and the Bishop was able to answer many questions and concerns. The next meeting will be on 11/29 at 7 pm at St. Clare’s Church in Colonie.

Earle explained that prayer will be the focus for the next Called to Be Church meetings. In January, they will plan what will be recommended to the Bishop. (There is no meeting in December.) Parish meetings will be set up in January to inform and involve parishioners.

VII. Committee Reports

A. Time & Talent—Kathy DeLaMater reported that the ministry fair went very well. 337 forms were returned with 805 total ministry sign-ups. 139 people signed up for 1 ministry, 82 people signed up for 2 ministries and 2 people signed up for 10 ministries. She will give a final report in January.

B. Hospitality Committee—Lisa Dorries gave a brief report. There are presently 38 people on the committee. She is working on an updated list. Lisa and Sandy Bilka are calling new parishioners each month to welcome them to our parish. No welcome receptions have been set up yet, but will be held on the 3rd Sunday of each month.

VIII. Pastor’s Remarks— The St. Vincent de Paul Society has started preparing for Thanksgiving. The letters have gone out and responses are coming back. St. Vincent de Paul Society will help 50 families at St. Luke’s with Christmas baskets & gifts. The Jesse tree will be decorated with ornaments colored by children of the parish. Fr. Jim explained the challenge of getting people involved in the sacramental life of the church; some are involved in only Faith Formation or CYO. The introduction of bringing the religious education classes to mass was very well received. The schedule for Christmas masses will remain the same as last year-vigil masses at 4 and 7 PM, midnight, 9:30 and 11:30 AM on Christmas day. The integration of masses with St. Gabriel’s church is going well. They have reduced their mass schedule to 3 masses (5 pm on Sat. and 8:30 & 10:30 am on Sun). Our mass schedule will remain the same.

    1. Christian Service The Plus 50 dinner was well attended. St. Vincent de Paul Society will help 50 families at St. Luke’s with Christmas baskets & gifts. The Advent tree will be decorated with ornaments colored by children of the parish. Names of homebound parishioners will be on the ornaments so that they can receive Christmas cards.
    2. Faith Formation-School- A written report was submitted. School resumed on Sept. 4 with an enrollment of 201 children in pre-kindergarten through Grade 5. The six new faculty members are off to a good start. The Marathon was held on Saturday, Sept. 22. The goal was $10,000 and the pledges are still coming in.
    3. Administration The financial statement was distributed to the Finance Council and reviewed. See attached report. Mike explained that the loan balance was going down as planned. He explained that on line 36 (Diocesan Assessment) the number had dropped due to lower assessment.

VI. Called to be Church—The next focus of Time and Talent will be Prayer and Worship. It has been a challenge getting information to the parishioners. More work should be done in this area. Soon there will be 3 priests for the 5 parishes. The five parishes of the planning group are hoping to plan some events together. OLA is hosting a music program for kids from all 5 parishes.

VII. Committee Reports

A. Time & Talent—Kathy DeLaMater reported that the ministry fair went very well. Dan Bolognino will be the chairperson for Time and Talent next year.

VIII. Pastor’s Remarks—The school and Faith Formation programs have begun and are running smoothly. Registration for CYO basketball is in progress and the scouts have started again. Fr. Tunny has moved into the rectory at St. Gabriel’s and he will be more available for masses. St. Gabriel’s will be changing their mass schedule but the mass schedule at St. Madeleine Sophie will remain the same.

  4. Chair Remarks Rocco thanked everyone and read the responsibilities of the pastoral council from the bylaws. Dan said he was happy to serve the parish and eager to meet the challenges ahead.
  5. Ministry Area Reports .
    1. Liturgy Team Julie Haynes submitted a written report. She also commented that the Liturgy Team will continue formation for liturgical ministers this year with a priority on altar server training. They will look for opportunities to work with the other parishes in our planning group such as communal reconciliation. Easter is early this year (March 28th) so planning for Lent and Easter will begin early. The Liturgy Team is planning for the Time and Talent Weekend.
    2. Christian Service No report.
    3. Faith Formation Religious education classes start on September 25th. Confirmation will be on December 3rd this year and the confirmation retreats are scheduled for 10/13 in the parish center and 10/26-28 at Camp Pinnacle. Laura is working on 30 Hour Famine planning. 85 kids signed up. Their goal is to raise $20,000.
    4. Faith Formation-School- Janet DeMania said the ice cream social for SMS school families on Friday, September 7th was very well attended. There are several new teachers at the school and the enrollment is very good.
    5. Administration Mike Murphy reported that the Finance Council will be working on finalizing the financial statement next week. The budgeted amount for weekly contributions was raised to $12,100 beginning in July. Caroline told the council about projects that have been completed over the summer: new roof for the parish hall, painting of the basement wall opposite the kitchen area, old carpeting pulled up, and new tile laid in basement room. The new petitions have arrived for the parish hall to replace the wobbly ones.

VI. Called to be Church—Cathy Golas commented how nice it was to meet the people from the other parishes in our planning group. The July and August meetings concentrated on service ministries; Catholic Charities, Campaign for Human Development, prison and nursing home ministries. Earle spoke about deacons visiting the area nursing homes and mentioned that Fr. Powhida had set up services at the group home on Western Avenue. In the next few months, the planning groups will focus on the sacramental life of the church and leadership and then church administration.

There was discussion about how information from the planning groups can be communicated to parishioners. Some suggestions were: pulpit announcements, use of the bulletin, mailings, and posting information to the website.

VII. Committee Reports

A. Time & Talent—Kathy DeLaMater reported that the printing for the mailing is being done. She has speakers for all the masses for 9/22-9/23, and the bulletin and pulpit announcements have been written. Someone is needed to chair this committee next year.

B. Hospitality—The new Hospitality chairperson is Lisa Dorries. All the welcome folders have been completed.

    Gloria Towle-Hilt provided a written report. Plus 50 club reported a dwindling number of people attending the dinners. Deficit of $85 for dinner in May. Gloria said that the numbers of people being served at St. John’s is up, and that the Twinning Group will be cooking this month. Fr. Powhida has 7 new Eucharistic ministers for the homebound and nursing home residents.
    By-Laws Amendment
    Rocco presented a proposal for the by-law amendment which added between the ages of 15 and 18 to "one elected at large youth representative" in Article 4 Section 1. It was approved by the council.

    Finance Council
    Julie Petti reported that the Finance Council is planning to meet in June to finalize the budget. The weekly collections are down somewhat but overall expenses are up, especially health insurance. In October the Finance Council will present the budget to the parish.
    Faith Formation-School- Janet DeMania spoke about the Holy Communion breakfast on May 10th and the donation of the leftover food to Catholic Charities AIDS Services, 19 North College St. in Schenectady, phone 381-1767 or Diane at 381-1782.

  7. Called to be Church—Fr. Jim explained about the ongoing meetings discussing Faith Formation for Youth and Adults, and the group’s agreement about the challenge of getting more people involved and the need to use media and technology more effectively. He discussed the use of the intergenerational program in some of the smaller parishes. The June meeting will be here at St. Madeleine Sophie.

    When Fr. Markert retires in July, Fr. Belogi, Fr. Powhida, and Fr. Tunny will cover St. Gabriel’s daily and weekend masses as well as funerals and weddings. Fr. Belogi and Fr. Powhida met with Annette Brooks, St. Gabriel’s new parish life director recently. Starting July 9th, Mass will be at 9 AM on Monday and 7 AM on Tuesday mornings at St. Gabriel’s.

    1. Election Committee. On May 2nd, members of the election committee and pastoral council met with nominees to answer questions and work on bio’s for the election. 23 nominations were received. Nine adults accepted the nomination: Dan Santandrea, Dan Bolognino, Deb Kizer, Teresa Bouchard, Marian Goard, Carm Brooks, Anna Hartz, Stephen Dunham, and Norm Miller. Five youth are also running: Danielle Freeman, Diana Weaver, Colin Kizer, Jonathan Cotugno, & Charlie Bouchard. A new timeline for the election was distributed. There will be a bulletin insert this weekend.
    2. Discernment Amendment Rocco presented a draft of the amendment. The use of the word "adult" in the amendments was discouraged. It was felt "youth" should be defined to include those between the ages of 15-18. There was discussion about whether or not the parish was ready to have discernment every year. Some felt it was important to have elections so as not to disenfranchise some parishioners. All agreed that we should be doing more to educate parishioners about the discernment process. It was generally felt that we should keep the procedure the same and continue to teach parishioners about discernment.

 

V. Ministry Area Reports

    1. Faith Formation A written report was submitted. Sr. Marilyn reported that an anonymous donor had bought St. Madeleine Sophie statues for each child in First Communion as well as the people in the RCIA program. She also reminded the council of Sr. Jean Roche’s presentation on May 22. Sr. Jean recently spoke at St. Clare’s Hospital and was very well received.

Pastor’s Remarks—Fr. Jim explained that permission has been received from the chancellor to proceed with sidewalks along Carman Road.

V. Ministry Area Reports

    1. Finance Council—Mike reported that the Finance Council is working on the budget. At the finance council meeting, there was discussion about starting sacrificial sharing again as well as internal controls for weekend collection procedures and CYO activities.
    2. Liturgy Team—Julie said the liturgy team felt that Lent and Easter went very well. The Triduum was well attended. Morning prayer during Holy Week was well received. Only Stations on Good Friday were not as well attended as anticipated (perhaps needed to be better publicized). The Art and Environment Team led by Anita Cenci and Linda Tegiacchi did a great job decorating the church. Thank you to Stephanie and Mark Weick for the wonderful reception after the Easter vigil mass.
  1. Called to BE Church—Cathy Golas explained that the discussion at the pastoral planning meeting this Wednesday will focus on faith formation for ages 6-18. The meetings for April, May and June will be here at St. Madeleine Sophie. Earle is working on bulletin inserts to summarize the discussions at the meetings. There was discussion about the faith formation for ages 1-5 which was the topic of the last pastoral planning meeting. Many mentioned the post baptismal letters that are sent out to parents at 6 mos., 1 year, 2 years and 3 years after baptism. Family meals and more "play time" were mentioned as important aspects to faith formation. Gloria suggested that next year we focus on family, perhaps have each ministry work on the goal of engaging families.
  2. Laura mentioned the gap between confirmation and young adult activities. It was suggested that age group be surveyed to see what they need. Colin thought that youth would be interested in a teen mass with youth music.

  3. Pastor’s Remarks—Fr. Jim explained that we have to put in sidewalks along Carman Road. A letter has been sent to the chancellor and estimates have been obtained. Bishop’s Appeal starts on May 5th. The diocesan assessment has increased to $98,000 this year.
  4. The 30 Hour Famine has been rescheduled for Sept. 14/15.

Election Committee—Gloria Towle-Hilt distributed a packet of election information which included an election timeline, pulpit announcements, nomination form, candidate profile, and usher notice. Pastoral council members read the materials and suggested a couple of changes to the draft. Nomination forms will be in the pews April 21/22 and election ballots will be in the pews on May 12/13.

    1. Prayer and Worship—Julie reported that the training of the ushers is completed. Training for lectors at the 4 PM masses has begun. The Lenten theme is: Tempted, broken, healed, redeemed>Salvation. The scrutinies will be read at the 9:30 AM masses only.
      Fr. Jim thanked Joanne O’Hara for 12 years of service leading the Art and Environment Committee.

  1.   New Business-Possible amendment to bylaws—It is too late to amend the bylaws for this year’s election but work should be done now to amendment the bylaws for next year. Gloria will check with Rocco to see if he would be interested in drafting an amendment.

  3.    Called to BE Church—Fr. Jim commented that the discussions at the last Called to BE Church were very positive and seemed to flow better. They broke up into three groups and each group discussed an area of evangelization and then reported back to the larger group. The three areas were: 1. Generating enthusiasm for faith, 2. Hospitality and Welcoming, and 3. Creating opportunities for gospel values in society (social justice). Suggestions for generating enthusiasm included a televised retreat led by the bishop, more family activities, and better preaching.

She introduced the idea of greeters at every mass and possibly welcome committee members available at every mass.     1. Finance Council—No report.
    2. Christian Service-Gloria Towle-Hilt distributed a written report. Some highlights were: Men’s Association will give only 2 scholarships this year, St. John’s Welcome Table will resume on the fourth Saturday of each month, concern that attendance at the Plus 50 dinners is dwindling and has not been covering the cost of the meal, and 2007 public policy forum will be held on March 13th at the Empire State Plaza Convention Center. Fr. Powhida discussed visiting the sick and homebound and ministry to the group home on Western Avenue.

     VI. New Business-Election Committee—The pastoral council bylaws indicate that elections are held on odd years and discernment on the                    even years. Gloria Towle-Hilt, Mike Murphy, and Rocco Solimando volunteered to work on the election committee and will meet soon.                    Nominations will be submitted by the April meeting.

              members and review of church profiles. Next meeting will focus on evangelization.

    2. of Time and Talent forms returned. More people seem to understand that they should send in a form to recommit to a ministry. The brochures were up-to-date and displays were great. Kathy volunteered to chair the Time and Talent Committee for one more year.

      B.    Hospitality - Stephanie Weick reported that the committee met in December. They plan to have Welcome packets available after every mass. They are planning to have the Newcomer Reception during the Time and Talent weekend. Stephanie requested updated brochures for the Welcome packets.

    V. Ministry Area Reports

    1. Faith Formation  - Written report submitted. There were three reconciliation services held for the children in elementary religious education classes during Advent. First Reconciliation will take place on Tuesday, Jan. 16 at 7 PM and Saturday, Jan. 20 at 11 AM. A meeting for second grade parents will be held on Wednesday, January 24th to discuss First Eucharist. Confirmation was held on Nov. 27.; 85 teenagers and 6 adults were confirmed. RCIA is going well. PARET is planning a 6 week program during Lent and possibly a presentation dealing with bereavement and/or end of life issues. Diocesan Youth Conference was held on Nov. 10/11. Three youth from our parish attended. Confirmation retreat was held on 1/6 with 32 tenth graders in attendance. Laura has several events planned including Bingo with Omni residents, assist at Regional Food Bank, and Bowl-A-Thon.

VI.      New Business-Called to be Church

Packets of information which included the names of parishioners on the planning team, the dates of pastoral planning meetings, and the parish profile were distributed. Members of the planning team will be commissioned this Sunday. Results of the planning meetings will be reported to the pastoral council as well as printed in the bulletin. It will be very important to keep parishioners informed. Fr. Jim suggested the pastoral council discuss topics that the planning group will be discussing. We were asked to remember pastoral planning in prayer.

  1. Pastor’s Remarks Fr. Jim thanked Joanne O’Hara and the Environment Team for the great job they did decorating the church for Christmas. The nativity set (which was recently repaired and painted) was beautiful. He felt the mass schedule for Christmas went very well. Next year we will communicate more clearly with liturgical ministers regarding the Christmas readings . Fr. Jim also expressed some concern about light numbers for Nocturnal Adoration (some people are in Florida for the winter). Gloria Towle-Hilt will look into it.

A. Time & Talent Committee-Kathy DeLaMater reported a good response. Some ministries that had an increase in volunteers were Christ Child Society, Salvation Army, Eucharistic Ministers, and Intercessory Prayer Team (which is new). There were about 25 more forms received this year and sign-ups are still coming in. She will give a final report in January.

IV. Ministry Area Reports

A.Faith Formation—Youth and Young Adult Ministry—Laura submitted a written report. The Confirmation retreat this past weekend went very well. 36 tenth graders attended. Three high school youth will attend the Diocesan Youth Conference at LaSalle Institute this upcoming weekend. About 12 youth have expressed interested in attending the National Catholic Youth Conference next year in Columbus, Ohio. Laura has begun planning for that event. She has several opportunities for service planned including helping with Thanksgiving/Christmas food baskets, working at the Regional Food Bank and serving meals at a homeless shelter.

B.Christian Service—Gloria Towle-Hilt submitted a written report and gave a brief summary.
Twinning and Plus 50 groups continue to provide monthly meals to the Outreach Center. These meals are served by Farnsworth students. The Salvation Army Ministry served meals to152 people in October. St. Vincent DePaul Society reports an increase in income due to the extra envelope. They are planning for Thanksgiving basket distribution. The next meeting of the Christian Service Committee is December 13.

C. Prayer and Worship—Julie Haynes is the permanent liaison to the pastoral council. The Liturgy Team has established a theme for Advent. The Christmas mass schedule will remain the same as last year.

V.  Called to Be Church—

There was a brief discussion about the first parish-wide meeting which was held on Wednesday, October 25. About 60 people attended. We agreed that Gene Therriault did an excellent job facilitating the meeting. Generally there was a positive feel and people were conversational and listened to each other. Some suggestions included changing the time of the meeting, providing babysitting, and having a special meeting for youth. It was suggested that the minutes of the meeting be inserted in the bulletin which was done the weekend of 11/12. The next meeting is scheduled for November 15th in the parish hall and will focus on ministry.

Next the council discussed the leadership meeting which was held on October 30th at OLA in Rotterdam. Other parishes in our planning group are: St. Gabriel’s, Our Lady of the Assumption in Rotterdam, Our Lady of Fatima in Delanson, and St. Margaret of Cortona in Rotterdam Junction. Gene felt that the meeting was not what he expected and Kathy DeLaMater expressed concern that the agenda was not followed. She felt that we talked "at each other" instead of with each other. Overall, people did not feel the meeting accomplished its objectives. Fr. Jim said he would speak with the facilitator. The next leadership meeting is on November 28th at OLA. The official planning session will begin in January and continue for 18 months.

A. Time & Talent Committee-Kathy DeLaMater gave a preliminary report. Time and Talent weekend (Sept. 30/Oct. 1) went well. There has been a good response so far. All sign-up sheets are due by October 18th. Results will go out to the ministries by Oct. 28/29. She will give a final report in January.

B. Finance Council—Julie Petti gave a brief overview of the financial statement. Some highlights were: 1.) increase in average weekly collection, 2.)increase in church operating expenses due to increases in maintenance, salaries, fringe benefits and utilities, 3.)Bishop’s Appeal assessment was reduced for this year, 4.)total debt of the Parish has decreased $56K over last year. The Finance Council is recommending the Pastoral Associate position be filled this year to assist Fr. Jim. Mike Murphy will be the new Finance Council liaison and Julie Petti will be the new chairperson of the Finance Council. The Finance Council will give a pulpit presentation on October 28/29.

C. Hospitality Committee—Stephanie Weick has been in contact with Pat Parker. There was some discussion about the importance of welcome packets for new parishioners and how to improve attendance at newcomers receptions.

IV. Ministry Area Reports

A. Faith Formation—Teresa gave a school registration update (210 children in daycare to Grade 5) and briefly listed some upcoming school events; blessing of animals on 10/4 and dedication of tree in memory of Lindsay Plant, National Denim Day for Breast Cancer Research on 10/6, trips to pumpkin patch by Pre-K, Daycare and Kindergarten classes on 10/26 & 10/27. She reported that the school marathon was successful despite the rainy weather. The book sale and activities brought in about $1,000.

Laura reported that religious education classes began last week. Confirmation retreat will be 11/3-11/5 at Camp Pinnacle. 36 tenth graders are registered so far. There will also be a retreat on January 6th in the parish center for 10th graders who didn’t attend the November retreat. She also commented that the Jr. High and Sr. High Youth Ministries are both very interested in community service so she is looking into several possibilities. She would also like to get some of the college students interested in a Young Adult Ministry.

B.Christian Service—Gloria Towle-Hilt reported that most groups have started for the fall. Twinning cooking has resumed and cooking in our facility has been approved.

C. Prayer and Worship—Liturgy Team met over the summer. They are focusing on training for liturgical ministers following masses to reach more people. They are working on a preliminary liturgical calendar and have set up seasonal teams.

  1. Pastor’s RemarksFr. Jim spoke briefly about Called to Be Church. Two parish-wide meetings have been scheduled on Wednesday, October 25 and November 15th in the parish hall. Gene Therriault will facilitate the meetings. The first meeting will focus on mission and the second on ministry. Leadership meetings will also be scheduled. We will be asked to prepare a profile of our parish and results of the meetings as well as statistics about our parish. A parish wide mailing will be done on October 10th inviting all parishioners to attend. The youth of the parish are also encouraged to attend.       1. Discernment Committee-Four at large representatives have been nominated; Kathy DeLaMater, Rocco Solimando, Cathy Golas and Janet DeMania. Laura will talk to some youth about volunteering for the youth position. Discernment is scheduled for May 23rd. Beth Simcoe will be the facilitator.
      2. Hospitality Committee—Pat Parker submitted a report. She asked if the Newcomers Reception might be better attended if it was part of the Time and Talent Weekend.

VI. Old Business-Proposed Mission Statement—To Live in Christ Jesus! St. Madeleine Sophie Parish is a community of faith empowered by the Holy Spirit and committed to share the light of Christ through love and service to God and neighbor.
Very well received by council, school board, faculty and staff. Some groups haven’t met yet. Liaisons will bring the proposed mission statement back to their ministry areas and bring comments back to the pastoral council. A bulletin insert will then be done to encourage reaction from parish.

VII. Ministry Area Reports

A. Faith Formation—Teresa gave a school registration update (208 children in daycare to Grade 5) and briefly listed some upcoming school events. Anna reported that the Spring Gala was very successful, raising $21,000. Sr. Marilyn submitted a report. She briefly discussed the plans for First Communion (May 13), the meeting with 8th graders and their parents, RCIA (Matthew Smith’s baptism & confirmation), and the successful Rosary program by RCIA. Laura discussed the 30 hr. Famine which will take place this weekend. They are aiming to raise $20,000. She also discussed the Jr. Youth Group, Confirmation Retreat (11/3-5 at Camp Pinnacle), Summer CLI, and the Diocesan Youth Conference (11/10-11 at LaSalle Institute in Troy).

B.Finance Council—Julie Petti reported that the Finance Council met in March and will meet again on Monday to work on the budget. She explained that the disclosure in the bulletin has been revised and that a St. Vincent de Paul envelope and a charity envelope will be added to the packet of envelopes.

C. Christian Service—The cooking groups (Twinning and Plus 50) are unsure how they will be able to continue cooking for the needy with the new regulations. These new regulations require that the cooking be done on-site or at a Health Department approved facility.

  1. Pastor’s Remarks—Fr. Jim reported on the Arise luncheon that he attended. 12 parishes were represented, including Sacred Heart in Troy which is very involved. He did not feel that this is something that our church would get involved with at this time. Fr. Jim reminded us of the two deanery events: Sacrament of Anointing of the Sick on Sunday at 3 PM at St. Luke’s and the Liturgical Ministers workshop on Saturday, June 3rd at Notre Dame-Bishop Gibbons from 9:30-2:45. A pastoral planning meeting is scheduled on 6/12 at 1 pm at St. Edwards for pastors, pastoral staff, and two representatives from each parish.

  4. Old Business—Pastoral Planning Discussion Part VI-Social Justice
  5. Question: Are you familiar with the Catholic Social Teachings? Many people are not familiar with Catholic social teachings. Christian Service and Social Justice have been put together. It’s uncertain how many parishioners participated in the Lobby Day. Fr. Jim spoke about Arise, which is an ecumenical organization that identifies social justice issues. Many churches in Albany, Schenectady, & Troy are involved, specifically Christ the King and Sacred Heart in Troy. Fr. Jim will attend an Arise meeting tomorrow and get more information for the pastoral council.

    V. Committee Reports

    A. Discernment Committee-Members of the Discernment Committee spoke at mass two weeks ago. An insert will go in the bulletin after Easter. Discernment is scheduled for May 23rd. Beth Simcoe will be the facilitator. Volunteers are need to help on the night of the discernment.

A workshop for liturgical ministers will be held on June 3rd at Notre Dame Bishop Gibbons High School . There will also be the sacrament of anointing of the sick on May 7th at 3 pm at St. Luke’s Church. This will replace our cluster’s anointing of the sick.

    A. Discernment Committee-The Discernment Committee met and a timeline was established. Cathy Golas is working on getting a facilitator. May 23rd was the first choice for a date; May 30th second choice.

  6. Ministry Areas
    1. Faith Formation—Report submitted. First Reconciliation was held on 1/21 & 2/4. Parent meeting for First Eucharist was held on 1/25. They are preparing for registration for next year.
    2. The Pre-Spring module has begun for high school classes. The Rite of Sending Forth and the Rite of Election took place on 3/5. PARET’s program Mysteries of the Rosary has been very successful (34 participants). Children’s Liturgy of the Word is going very will with about 35 children attending.

      Youth & Young Adult Ministry—High School planning meeting scheduled for 3/22 at 7 PM. The 30 Hour Famine is scheduled for 4/28-29.

      School—Registration for next year continues. The open houses were well attended. Spring gala is scheduled for 4/28. The ziti dinner was well received by parishioners.

    3. Administration—Julie Petti reported from the Finance Council which will meet next Monday. Jim Kopp will be the guest speaker. Gene Therriault was welcomed as the new trustee.
  1. Pastoral Planning—Part V-Ecumenism—We belong to the Guilderland Interfaith Council. Fr. Jim, Pat Rein, and Earle attend the meetings several times a year. We participate in the Advent Service of Lessons and Carols. We have participated with the Capital Area of Churches in the past. We have worked with World Vision with the 30 Hour Famine and Refugee Resettlement.

A committee was formed to work on the mission statement. Fr. Jim, Rocco Solimando, Julie Petti, Joanne O’Hara and Anna Hartz will work on a draft for our next meeting.

  4. Chair Remarks Cathy Golas reminded the Council about the Education Tax Credit Rally on 2/14 at noon on the steps of the Capital Building.
  5. Old Business--Pastoral Planning—Part IV- Parochialism and the Parish—Fr. Jim explained that St. Madeleine’s is actually part of two deaneries, the suburban Albany deanery and the Schenectady deanery. The Schenectady deanery is composed of about 18 churches in Schenectady county. We are clustered with St. Gabriel’s. The dean of the Schenectady deanery is Fr. Joe Cebula from Our Lady of the Assumption. The deanery meets each month for 9 months of the year. February 14th is their next meeting. The Schenectady Deanery has planned a workshop for liturgical ministers for June 3rd at Notre Dame Bishop Gibbons.
  6. We are collaborating with other parishes particularly St. Gabriel’s Church in a number of areas—Reconciliation Services, Sacrament of the Anointing of the Sick services, RCIA, PARET. Fr. Leo from St. Gabriel’s helps with reconciliation here and Fr. Jim helps with reconciliation at St. Gabriel’s.

    Fr. Jim explained that there are 100 fewer active priests in the diocese compared to 10 years ago. In some parishes, parish life directors have been named with sacramental ministers for mass and the sacraments. This has not happened in the Schenectady deanery.

    Parishioners are aware of changes in other parishes and the shortage of priests. People look to their church for stability and continuity so change can be very stressful. Churches need a sense of mission to continue successfully.

    Specific things we do to remind our parish of its relationship to the diocese and universal church are: Missionary co-operative appeal, the Evangelist, Bishop’s Appeal, Food for the Poor, Food for the Soul, etc.

    VI. Committee Reports

    A. Discernment Committee-No report.

    B. By-Laws Committee—No report. The by-laws will be attached to next month’s agenda and minutes for pastoral council members to review.

  7. Ministry Areas
    1. Christian Service—The next meeting will be on April 19th. The Parish Public Policy Forum will be held on Tuesday, March 14 at the State Capitol in Albany. A sign-up form is in the bulletin for all who are interestered.
    2. Prayer & Worship-- Liturgy team will meet tomorrow night to continue work on Lent. The Lenten theme will be Led by the Spirit we walk with Jesus in the wilderness to be refreshed and renewed to recognize and rise up to the life that is ours in Christ.

    VI. Committee Reports

    A. Time & Talent Written report—Two sign-up weekends for 2006; June for Faith Formation and September for all other ministries. Last year we received about 800 forms back but that was low as parishioners recommitting did not always submit forms. All communications this year will stress the need to use forms even for recommitment.

    B. Nomination & Discernment Need to form committee to elect new members at the end of the year. In even years, four at-large members needed. Qualifications: baptized Catholic, member of parish, at least 15 years old. Need to call Beth or another faciliator from the Diocese. Through Discernment we look into what is involved and if people want to run, notify from pulpit or bulletin. Copies of bylaws should be given to new members. The last revision to by-laws was in March 2005. (Have some copies available for next meeting.) Hopefully, a number of people would be interested in the discernment process. Discernment committee—Cathy Golas, Mark Weick, & Gloria Towle-Hilt. Questions raised on commitment for Discernment Committee—new about 4 meetings to prepare. Timeline prepared, meal for full evening. Fr. Jim stated that all candidates need to be present for full eveing so second meal does not have to be scheduled. They will meet for a few hours for discernment, break for dinner and go to church. Committee must meet with faciliator after discernment. Process should start in March and be completed in May. A lot of work will be done by e-mail. Pastoral Council is to empower others to assist with process of cooking, etc. Need commitment from candidates for time needed for discernment.

  6. Ministry Areas
    1. Christian Service—written report. No report for Hospitality or Bereavement. St. Vincent de Paul reported a low budget and the need for donations. The Parish Public Policy Network will begin in March.
    2. Faith Formation—Written report attached. Preparing for First Reconciliation and First Communion. 118 children receiving the sacraments (148 children was the largest class). They will still have two communion services. Confirmation was 11/28/05. 92 young adults and adults were confirmed. RCIA-One candidate to be baptized on Holy Saturday. Children’s Liturgy has 30-35 children attending every Sunday.
    3. Young Adult and Youth Ministry—Junior High Program-10 youth members & 6 adults. Cookie decorating party on 12/3. They decorated 10 trays of cookies which were given to several organizations. Planning meeting scheduled for 1/11/06. Group is service oriented. The High School Ministry meeting (during vacation) only 3 adults attended. 10th Grade retreat went well. Laura and 2 team members will go to team training. Young Adult Ministry was popular in the late 1990’s and is just starting to gain popularity again. Diocese has hired a Young Adult Ministry Liaison. Goals—Discover where our parish young adults are available, meet with them and determine needs. St. Henry’s in Averill Park has an active young adult ministry. There is a need to make programs family friendly. St. Vincent de Paul Parish had an active program at one time. Laura will check into that.
    4. School—Written report. Open Houses 1/11/06 & 2/8/06. Their fundraising total as of 1/1/06 was $20,680.66. The Second Annual Spring Gala is scheduled for Friday, April 28th, Defensive Driving Class on Saturday, February 18, and Ziti Dinner for Saturday, February 11. Cathy Golas mentioned that 2/14/06 is a lobbying day at the state capitol for Catholic School Tuition tax deductions. More details to follow. People to gather in Albany in support of Catholic Education to help push tax credits for tuition. Cathy will get more information.
    5. Administration—No report. Finance Council meets on 1/23/06.
  1. Pastor’s Remarks—Fr. Jim to provide stats on mass attendance totals. Advent & Christmas season went well. New mass schedule for Christmas went well. 4 PM was crowded, 7 PM was full, & midnight was well attended. There was difficulty identifying Eucharistic Ministers for the 9:30 AM mass. Liturgy Team did a great job. Fr. Jim thanked Barbara Walch and Joanne O’Hara for doing a great job of pulling it all together. He also thanked Faith Formation for bringing young people into this process. Tomorrow evening the Lenten Team starts planning.

Evangelizing not a separate act-part of what we do. Put mass schedule on holiday baskets.

Mass count. Use of time when parents bring child for sacraments- time to join with them

 

Group 2

How do we reach out to others in parish? Fellowship, the gathering space has helped foster fellowship. RCIA—assist with the personal touch in evangelization.

Dischurched—People who have fallen away. How do we bring them back?

  4. A. Time & Talent- Kathy DeLaMater submitted a written report. To date 311 sign-up forms have been returned for a total of 790 commitments. This is slightly lower than last year.

    B. Hospitality-Earle submitted a written report which outlined the duties of the Hospitality Committee. Stephanie Weick volunteered to be the coordinator of the Hospitality Committee.

  5. New Business- Diocesan Parish Convening 10/29 from 8:15 to 3 PM at LaSalle Institute in Troy. No attendees were present at the meeting. Next year we will try to get information about the convening out sooner and hopefully have greater attendance from SMS.
  6. Ministry Area Reports

A. Christian Service Gloria submitted a written report. She met with Juliann and Tom Breedlove and spoke to other Christian Service ministry leaders. Donations to St. Vincent de Paul Society are down which has impacted their monetary donation to Twinning. Gloria has obtained a donation from a law firm to cover food purchases for Twinning for next month.

B. Prayer and Worship Julies Haynes reported that the Christmas subcommittee had met. The Christmas mass schedule has been changed to 4 PM, 7 PM, and midnight on Christmas eve and 9:30 AM & 11:30 AM on Christmas day. No 7:30 PM mass on Christmas night. The Liturgy Team will meet tomorrow.

VI. Pastoral Planning/Parish Mission Statement- We worked on Part II "Characteristics of Parishes that are most Vibrant and Successful." Next meeting we will discuss Part III "Evangelization." (See next page for notes from discussion.)

PART II—Characteristics of Parishes That Are Most Vibrant and Successful

Liturgy and Preaching are strong characteristics of our parish, as well as ownership and a sense of family and feeling of being listened to.

Life Concerns needs development:

Family friendly activities needed.

Lenten pizza dinner was well received.

Men’s Association concert (Hair of Dog) was attended by all ages.

Two areas that are active and growing are Hospitality and Youth/Young Adult Ministry. New welcome packets are good addition.

Concerns:

Engaging new people can be difficult.

SVDP needs to bring in more new people.

Questions about visitation.

Lay leaders in our parish are generally visible and self-identified. They show personal initiation. Some people may be reluctant to over-commit. Parishioners may need to be invited to be lay leaders. FMP can help train lay leaders. Attendance at parish convening and other events can help bring in new ideas.

Name tags for pastoral council members can help parishioners identify council members.

Evaluation and feedback should be sought. Possibly new survey.

10/3/05 Meeting Minutes

  3. Chair remarks- Cathy Golas spoke briefly about Bishop Hubbard’s speech "The Mission of the Contemporary Parish".
  4. Pastoral Planning/Parish Mission Statement- It was decided that we will break up "The Mission of the Contemporary Parish" up into parts and work on Part II "Characteristics of Parishes that are most Vibrant and Successful" next month. We will continue with Parts III-VII and then return to Part I and work on a mission statement for the parish at that time.

  6. Hospitality liaison is still needed. Earle will check with Pat Parker to outline what will be required of that position.

  7. New Business- Upcoming Diocesan Parish Convening 10/29 from 8:15 to 3 PM at LaSalle Institute in Troy. Registration is due by 10/19th. Parish will cover the cost.
  8. Ministry Area Reports
  9. School-report submitted. The Fall Festival (Marathon & Garage Sale) was this Saturday. It went very well. Grade 1 has planned Mass for tomorrow, and the school will participate in the Blessing of the Animals. Defensive Driving Class will be held on Saturday, October 29th in the parish hall. Craft Fair is scheduled for November 5, 2005.

    Faith Formation-report submitted. Religious education classes and the fall module for high school have begun. Sr. Marilyn and Sr. Sheila have met with 9th, 10th, and 11th graders and their parents during the month of September. The RCIA team met on 8/25 and Inquiry was held on 9/14. The first session of Children’s Liturgy of the Word began on Sunday (10/2).

    Young Adult-Youth Ministry-report submitted. Laura Conroy gave a brief explanation of meetings planned for Jr. High, Sr. High and Young Adult Ministry. She plans to speak at all masses on the weekend of 10/29 & 10/30.

    Administration/Finance-report submitted. Monthly collections were very close to budgeted amount. Transfer to the school was less than anticipated. Because of the shortfall of the Bishop’s Appeal, $35K of the diocesan assessment had to be funded by the church. The line of credit has been paid off and the mortgage is currently $214K. Some capital improvements done this summer include building the pavilion, blacktopping the parking lot, and a new church sign.

  10. Pastor’s Remarks-The Work of Human Hands sale went very well as did the Time and Talent Weekend. The Men’s Association has cancelled the Oktoberfest due to slow ticket sales. A member of the Finance Council will speak at mass on 10/15 & 10/16. Fr. Jim Walsh will also be here that weekend to speak about vocation awareness.
